Chapter I
General Provisions
  1. The 8th edition of the International Conference ‘Aspects of Neuroscience’, further called ‘the Conference’, takes place on 23rd-25th November 2019 in the Faculty of Biology at the University of Warsaw.
  2. The Conference is organized by the Neurobiology Student Science Club.
  3. Regulations within this Terms and Conditions are an integral part of registration procedure and apply to all Participants.

Chapter II
  1. International Conference Aspects of Neuroscience is open for all interested in neuroscience.
  2. It is possible to attend the Conference as passive or active participant presenting a poster or giving a speech in seminar session.
  3. The abstract submission deadline for active participants is 15th October. It is advised to submit the abstracts well in advance.
  4. Registration via website as passive participant deadline is 10th November.
  5. On-site registration at the Conference is possible; however the final decision about the eligibility is made by the Organizing Committee. Please note that we DO NOT provide invoices for Participants who register on-site or pay on-site.
  6. Acceptance of the abstract of poster or presentation (speech) is made by the Organizing Committee and Scientific Committee. Their decision is final. The decision about acceptance will be sent via email within two weeks after the deadline of registration.
  7. The Organizing Committee reserves the right to change the plenary session chosen by participant in which poster/presentation is presented, if necessary.

Chapter III
Registration rules
  1. Considering the registration, all rules and information available on the website are valid. Careful looking into given points is recommended.
  2. Each participant is allowed to present only one poster (as a first author) and/or give only one speech. However, it is possible for a participant to both present a poster and give a speech.
  3. Only active participants are eligible to receive certificate of attendance for presenting a poster or giving a speech. Co authors are not eligible, unless they are registered as active participants.
  4. Confirmation of attendance (passive or active) will be issued after the event and send as validated pdf file via email.

Chapter IV
Fees and payments
  1. Early registration fee is 120 PLN (30 EUR) till 15th October. Late registration fee is 150 PLN (38 EUR) till 10th November. Late fee apply for all the participants who registered after 10th Novemver without regard for the type of participation (active or passive).
  2. On-site registration fee is 190 PLN (45 EUR). It can be paid in cash only. Please note that we DO NOT provide invoices for Participants who register on-site or pay on-site.
  3. The Conference fee covers: conference package, lunch and coffee breaks, city tour on Friday and integration meeting on Saturday.
  4. In case when an invoice is needed, invoice data must be filled in the registration form before payment. After payment without giving invoice data, getting an invoice is not possible.
  5. In case cancelling the participation, refunds are not possible.
  6. However, it is possible to appoint co author as presenting first author without extra charge. Substitution must be reported to the Organizing Committee not later than 24 hours prior to event.
  7. Participants registered via Registration Form must transfer the registration fee no later than 5 days before the Conference. The amount of charge depends on the registration date (see point IV.1).

Chapter V
  1. Maximum size of printed poster is A0. It is possibile to present a multimedia poster, but the organizers cannot provide any displayer.
  2. After the poster session participants are obliged to take off their posters. Otherwise they will be discarded by the Organizing Committee.

Chapter VI
Final Provisions
  1. For promotional purposes, there may be a professional photographer and video production taking place during the Conference. Participants who do not wish to be filmed or recorded should advise the organizers by email to prior to the event.
  2. Any disputes that may arise from participation in the Conference will be resolved by the court in the country of the Organizer.
  3. In matters not covered by these Terms and Conditions, the provisions of the Civil Code shall apply.
  4. In accordance with the Personal Data Protection Act of August 29, 1997 (Journal of Laws No. 133 of October 29, 1997, item 833.), the Organizer does not transfer, sell or lend collected Participant's personal data to other persons or institutions. Personal data provided by the Participant (name and surname, telephone number, e-mail address) are treated as confidential information and are used only for communication purposes between the Participant and the Conference Organizer.
  5. The organizer is not responsible for the things of the Participants that may be lost, destroyed or stolen during the Conference.
  6. Participants bear full financial responsibility for their destruction on the premises where any activities related to the Conference are carried out.
  7. Participants are obliged to observe the principles of ethics relevant to science, ie to avoid behaviors described as guest-authorship, ghostwriting, plagiarism, autoplag, as well as to provide information about sources of financing and research support (financial disclosure).
  8. All detected forms of unethical behavior will be eliminated in accordance with available legal means.
  9. The Organizing Committee reserves the right to make alterations to the Conference program, venue and timings. All registrated participants thereby agree on all presented terms.
